What data we collect

Account data (optional)

Authentication is handled by Microsoft Entra External ID, operated by Microsoft Corporation. When you sign in, Microsoft provides us with the following fields from your Microsoft account, which we cache in our database so the site doesn't need to call Microsoft on every page load:

  • Email address — used for authentication via email one-time passcode (OTP) and to identify your account
  • A unique user identifier assigned by Microsoft Entra External ID
  • Display name, given name, and surname — if provided during sign-up or in your Microsoft profile
  • Job title, company name, and country — if you provided them during sign-up or in your Microsoft profile
  • The date your Microsoft account was created
  • Your marketing communications preference and terms-of-use acceptance as recorded by Microsoft Entra during sign-up

The cached copy is refreshed from Microsoft periodically (currently every 7 days) so that updates you make in your Microsoft account propagate to IntuneAcademy. You can review Microsoft's privacy statement at privacy.microsoft.com.

Progress data

When you are signed in and mark lessons as complete, we store:

  • Your user identifier (assigned by Microsoft Entra External ID)
  • The course and lesson you completed
  • The date and time of completion

This data is stored in Cloudflare D1 and is used solely to display your progress and generate aggregate platform statistics.

Contact form submissions

If you submit the contact form, we collect:

  • Your name
  • Your email address
  • Your message

Contact form submissions are processed by Formspree. You can review Formspree's privacy policy at formspree.io/legal/privacy-policy.

Waitlist data

If you join the IntuneAcademy course waitlist, we additionally collect and store:

  • The fact that you joined the waitlist, and the date and time you joined.
  • How you heard about IntuneAcademy — an optional answer from a short list of options (LinkedIn, Google, Reddit, exhibition, recommendation, "other", or "prefer not to say"). You can decline to answer.
  • Your notification preferences — whether you want to be emailed when new course modules are published, and whether you want to be emailed about upcoming live office hours. Each preference is a separate consent that can be changed or withdrawn at any time.
  • A record of your consent, including the date and time you joined, the version of this privacy policy you accepted, the wording of the consent statement shown to you, and your IP address and browser at the time. We keep this so we can demonstrate, if asked, that your consent was freely given and informed.

The profile fields shown to you on the waitlist form (name, email, job title, company, country) come from the cached copy of your Microsoft account described in Account data above — joining the waitlist does not separately store them.

Marketing communication preferences from your Microsoft account

When you sign up via Microsoft Entra External ID, you are asked whether you would like to receive marketing communications from Robopack. If you say yes, we read that preference from your Microsoft account so we know it exists. This Microsoft-account-level preference applies to communications from Robopack across all our products. The IntuneAcademy waitlist preferences above are separate and IntuneAcademy-specific.

Analytics

We use Cloudflare's built-in analytics, which do not use cookies or track individual users. No personal data is collected through analytics.

How we use your data

We use your data to:

  • Authenticate you and maintain your session
  • Track and display your course progress
  • Respond to your contact form enquiries
  • Generate aggregate, anonymised platform statistics for reporting purposes
  • Send you a one-time confirmation when you join the waitlist
  • If you have opted in: email you when new course modules are published, and email you about upcoming live office hours
  • Understand which channels visitors find IntuneAcademy through (the "how did you hear about us" answer)

We do not sell your data to third parties.

Lawful basis for processing

Under the General Data Protection Regulation (GDPR), every processing purpose we have requires a lawful basis. Ours are:

Where consent is the basis, you can withdraw it at any time without affecting your account or your ability to use the service. Withdrawal is as straightforward as giving consent: change the relevant checkbox on your waitlist preferences screen, or contact us at the address below.

Your rights

Under the General Data Protection Regulation (GDPR), you have the right to:

  • Access your personal data
  • Rectify inaccurate data
  • Erase your data ("right to be forgotten")
  • Restrict processing of your data
  • Port your data to another service
  • Object to processing of your data
  • Withdraw consent at any time where we rely on consent (e.g. for marketing emails). Withdrawing consent does not affect the lawfulness of processing that happened before withdrawal.

For the consents specific to IntuneAcademy, you can withdraw directly: change your notification preferences on your waitlist preferences screen, or leave the waitlist using the "leave the waitlist" action there.

To delete your IntuneAcademy account, or to exercise any other right that isn't available through self-service, contact us at info@softwarecentral.com. We respond to such requests within 30 days as required by GDPR.

You also have the right to lodge a complaint with the Danish Data Protection Authority (Datatilsynet) at datatilsynet.dk.

Data retention

  • Account data is retained for as long as your account exists. To delete your account, email us at info@softwarecentral.com; we will action the request within 30 days.
  • Progress data is retained for as long as your account exists and is deleted when your account is deleted.
  • Contact form submissions are retained for up to 12 months.
  • Waitlist data, including your consent record and notification preferences, is retained for as long as you are on the waitlist. If you leave the waitlist, your waitlist entry is deleted. If you delete your account, your waitlist entry is deleted at the same time. We retain consent records for an additional 12 months after withdrawal so we can demonstrate, if asked, that your consent was valid at the time.
  • "How did you hear about us" responses are retained in aggregate indefinitely (e.g. "20 people heard from LinkedIn this month") but the link between the answer and your account is deleted when your account or waitlist entry is deleted.

Cookies

IntuneAcademy uses only essential cookies and browser storage required for authentication (session management via Microsoft Entra External ID). We do not use advertising or tracking cookies.

Changes to this policy

We may update this privacy policy from time to time. Changes will be posted on this page with an updated "last updated" date.
